How to resign without causing any animosity #

Finally, you have received an offer from your dream company. Now many of you may be worried about how to resign smoothly without causing any animosity. At this point, you must be prepared for the worst. You should understand that delaying the resignation out of softness will only harm your relationship with your former company. It is better to be straightforward and decisive. Generally, there are two ways to resign:

  • Resign through email;

  • Directly communicate with your immediate supervisor. You can determine which method to use based on your personality. For example, if you are not good at communication or are introverted, you can use email. If you have already decided on how to communicate with your superior, you can directly approach your leader. What should you pay attention to when writing an email or directly communicating?

First, express your gratitude to the company and your leader for their guidance and help in your work. Also, mention how happy you have been working and growing in the company. At the same time, explain how difficult it was for you to make the decision to resign. This kind of expression will definitely leave a good impression on your leader.

Next, regardless of whether your reason for resigning is dissatisfaction with salary, mismatched management style, or reaching the limit of career development, do not complain about it. Every leader in the company is aware of the company’s issues. Instead of complaining, it is better to directly tell your leader that the reason for resigning is for better career development or to create better opportunities for learning and growth. With your determination and such reasons, your leader will definitely understand the underlying meaning.

If at this point your leader suddenly asks, “Have you found a new job? How should you answer?” It is suggested to answer in a tactful way, such as “I have several job offers in hand, but I have not decided which one to choose yet…” The least recommended reason for resigning is when some people choose reasons like “my family member is sick and requires a long-time care” or “my family wants me to work in my hometown”, just to avoid an awkward situation for both sides. If these reasons are true, there will be no problem. However, if they are fabricated and later discovered, it will leave a dishonest impression on your former company, making future encounters more awkward. Some people also request a salary increase by resigning with a job offer in hand. Playing these kinds of “clever” moves can backfire and not only tarnish your reputation with the company offering the job, but also make your current company less likely to rehire you.

Finally, you can also express to your former employer that you will be responsible for the clear handover of your work, taking the last shift. This will leave a reliable impression on your former employer. After all, your job references are still in their hands, and you don’t want to ruin that and receive negative feedback.

Properly arrange work handover #

Usually, if you are a full-time employee who has already completed the probation period, the handover time will be one month. Therefore, the company will also require you to continue working normally during this month. So, how do you properly arrange work handover in this one-month period?

  • First, negotiate with your immediate supervisor to find a reliable handover person;

  • Organize your past project documents and send them to the handover person in categories;

  • If you have ongoing projects, you can familiarize the handover person with them and work together to wrap up these projects;

  • Inform colleagues or project partners that you are leaving and that the projects will be taken over by the handover person;

  • Set aside two weeks to assist the handover person in familiarizing themselves with your work and provide support from the side.

If the new company expects you to join as soon as possible and you are worried about refusing the offer, it is advisable to sincerely explain to the new company and synchronize the progress of the handover work with them.

When preparing the handover documentation, there are some considerations:

  • Clearly classify the documents so that any issues can be immediately communicated with you;

  • Include as many relevant documents as possible to make your handover documentation easier to find;

  • Remember to cc the leader when sending out the handover documents. This is important and must not be forgotten.

I believe that following this handover process will prevent you from feeling overwhelmed and leave a good impression on your former employer. On your last day of work, remember to say goodbye to your colleagues one by one and express your gratitude for their past support and help. Keep in touch with them in the future. More importantly, make sure to obtain a “resignation certificate” or a “termination of employment contract report” from your former employer.

Welfare Handover #

After the handover work is completed, many colleagues will ask: What should I do with my social security and provident fund? Let’s talk about three common welfare handover matters.

Social Security and Provident Fund #

The social security and provident fund of each company are based on the 15th of each month as the cutoff point. If you join a new company before the 15th, the company will help you make the social security and provident fund contributions for that month. If you leave the former company after the 15th, the social security and provident fund will be borne by the former company. Of course, there may be special circumstances depending on the specific arrangements made by the talent bureau. If you happen to leave before the 15th, take a break for some time, and join a new company after the 15th, you may need to find a third-party insurance agency to pay the social security and provident fund contributions by yourself. img

Annual Leave #

Usually, the company will calculate your annual leave based on the months you have worked, and then negotiate with you to postpone your resignation for a few days, settle it as salary, or follow other procedures according to the company’s regulations. img

Work Residence Permit #

If you have a work residence permit from your previous employer, you need to ask the new company if they can accept it. If they can, you can directly transfer it.
